Invoices for your bookings

Paperwork is nobody's favourite part of hosting, but a guest asking for an invoice you cannot produce is worse. Stayblox can issue your invoices from the bookings themselves, once you make two decisions up front.

Choose your mode

Invoicing runs in one of three modes. Off means Stayblox issues nothing, which is fine if your accountant bills from another system. Proforma gives guests a formal payment document without creating a legal invoice. Full invoices produce the real thing. Legal invoice mode depends on your jurisdiction being supported, so check yours before promising invoices to anyone. If in doubt, ask your accountant which mode matches how they already work. Changing your bookkeeping habits to suit software is the wrong way round.

Set up your business profile, carefully

Before issuing anything, fill in your business profile: legal name, VAT or company ID, address and country. Take your time on the country field. It locks after your first invoice, because an invoice sequence belongs to one jurisdiction. Everything else deserves a second read too, since the profile prints on every document you issue.

Issue by hand or on autopilot

You can issue an invoice manually from a booking whenever a guest asks. Or you can set invoices to issue automatically, for example at check-in or at checkout, and stop thinking about it. Automatic issuing suits properties with steady volume. Manual suits hosts whose guests only occasionally want paperwork.

Numbering, downloads and corrections

Invoice numbering supports a custom prefix, handy if your accountant wants your Stayblox invoices distinguishable from the rest, or if you run more than one property business. Every document downloads as a PDF, ready to email to a guest or drop into your accounting folder. And when something goes wrong, a credit note corrects an issued invoice properly. Get the mode and the profile right in week one. After that, invoicing becomes a thing that happens rather than a thing you do.
