How to choose a property management system: what actually matters

Choosing a property management system is one of those decisions that looks small and isn't. You'll open this software every day for years, your bookings and guest history will live inside it, and switching later means a migration nobody enjoys. Yet most comparison shopping gets stuck on feature lists that all look the same. Here's what actually separates the options.

Start with the pricing model, not the price

Two systems can both say "from €20 a month" and cost wildly different amounts by December. The difference is the model. Per-booking fees and percentage cuts mean your software bill grows with your revenue, and a strong season comes with a surprise invoice. Per-unit pricing punishes you for adding that second apartment. Flat plans cost the same in August as in November.

Don't just calculate what you'd pay at today's size. Calculate what you'd pay at the size you're aiming for. That second number is the one that should drive the decision, because the whole point of good software is to help you get there.

Check whether direct bookings are included or an upsell

Plenty of systems manage your OTA reservations well and then charge extra, sometimes a lot extra, for the thing that actually grows your margin: a website with a real booking engine. If commission-free direct bookings are part of your plan, and they should be, a booking engine and a proper website belong in the core product, not in an add-on price list.

While you're at it, check the practical details. What does connecting your own domain cost, and on which plan tier? Does the site show live availability from the same calendar as everything else? Can guests actually pay online, and what does the payment setup cost on top?

Look hard at channel connections

Almost every PMS says it syncs with Airbnb and Booking.com. The useful question is how. Certified two-way connections update availability and rates in near real time. iCal-only sync updates on a delay and carries only dates, which is workable for light setups and risky for busy ones. If a system is vague about which kind it offers, that's your answer.

Judge the screens you'll live in

The demo will show you dashboards. Ask instead to see the three screens you'll use every day: the calendar, the inbox and the task list. Can you see all your properties at once? Do guest messages from every channel land in one place, with the booking context attached? Can a cleaner see today's turnovers without seeing your revenue? Small frictions in these screens compound into hours, because you'll hit them daily.

Automation should cover the boring five

Most of the messages a stay needs are the same every time: confirmation, check-in instructions, arrival day, a mid-stay check and a review request. A good PMS sends these for you on a schedule. The same goes for operational routines, like a cleaning task that appears automatically after every checkout. If the system can't automate these, you are the automation.

Make sure you can grow into it, and out of it

Check that roles and permissions exist, so the person answering messages doesn't need access to your payouts. Check the reports show the numbers you'd actually act on: occupancy, revenue by channel, what's owed and what's paid.

Then check the exits. Can you export your bookings and guest list? Do you own your domain and your website content? A system confident you'll stay doesn't need to lock the doors. Treat contract lock-ins and exit fees as the warning signs they are.

Use the trial like you mean it

A free trial is only useful if you rehearse real life in it. Load a real property with real photos and rates. Create a booking, move it, cancel it. Send yourself the guest messages. Connect a channel if you can. An hour of honest rehearsal tells you more than a week of reading comparison pages.
